Topic: Tennis Draw Challenge - hosting events

As Tom is done with the first part of the website, it is ready to kick off the 2015 season. All 2015 tournaments are created as well. We have to split the different tournaments between us. Here are the summary of what a host should do:

1) set up dates and time for bracket opening and closing as well as tournament start (first main draw match).
2) create the draw, add players if necessary and edit it with bye, qualifier, ll..etc
3) update the results during tournament.

The most important part are the first two steps, especially setting up the draw as it must be done as quickly as possible when draw is released.

Details for the different parts:

REMINDER: time is UTC for the website!!!
REMINDER 2: please read this before hosting an event and ask all the questions you need!!!!

1) Part One: before draw comes out
-one week before tournament starts, check the official date (and time if possible) of the first main draw match.
-check the date (and time if possible) of the draw ceremony.
-accordingly, modifiy the different times in the admin section (admin\edit tournament\yourtournament\edit info).
-remember that picks MUST NOT be open before you had time to set up draw. So make sure you have enough time before picks open. Dont hesitate to have a solid margin as one can always anticipate it once it is done.
-committed players should already be in the tournament (I do it once the acceptance list is out 40 days before the start of the tournament)
-you can check the players list  by going in the draw section (admin\edit tournament\yourtournament\draw edit) of the tournament. It is empty but you can scroll down the list of players in any slot.
-acceptance list and draw release time can be found on www.menstennisforums.com .

2) Part Two: draw is released, hurry up!!!
-immediately after draw release, create the draw in admin\edit tournament\yourtournament\draw edit
-enter all players and byes/qualifiers.
-if a players is missing, go to admin\add tournament player and enter the missing player (s) (format LastName, FirstName)
-once draw is complete, go to admin\edit tournament\yourtournament\player edit and make the changes (bye, LL, Qualifiers, WC, Seed, SE, PR..)
-once draw and editing are done and ready to open for picks selection, change the tournament time 'bracket start' (admin\edit tournament\info edit)
-make sure picks open at the right time
-verify the time of the first main draw match and change the picks closig and tournament start time accordingly. Picks closing and tournament star should be as close as possible.
-this second part must be done within couple hours after draw release so make sure you have the time to do this. Otherwise please say it and we will find a solution.
-once picks are open, players can be changed (withdrawals, qualifiers, lucky losers...) on admin\edit tournament\replace edit. But NOT on the initial draw page used to create the draw.if a player is moved around the draw, do nt make any change but please immediately ask Tom. This replacement is only made for a withdrawal for a new player

3) Part Three: updating results
-well, updating results is what is needed here. Admin\edit tournament\results edit
-(A) When updating unknown qualifiers to actual players, do NOT use the regular admin draw page. Use a special player replacement page: admin\edit tournament\replace edit
(B) Before entering match results, do NOT enter results for matches that contain unknown qualifiers (so those unknown qualifiers must be updated in (A) first before entering results)
(C) When entering match results, make sure the result is final and you choose the correct winner because once you submit the result, this will update everyone's scores (so the page lets you update the result just once, no  or edits for the winner, but score can be edited). If there is a mistake it's fixable but not a convenient thing. Dont forget the tie-break scores if needed.
-modify tournament end time accordingly when it is over.

For 250 and 500 tournaments:
-usually from Monday to Sunday but can start on Sunday. Can also finish on Saturday.
-draw usually released on Saturday.

For masters 1000 tournaments:
-usually from Monday to Sunday. Can start on Sunday. Indian Wells starts on Thursday and Miami on Wednesday.
-draw usually released on Friday.

For Grand Slams:
-from monday to the 2nd Sunday. French Open starts on Sunday.
-draw usually released on Friday (Thursday for US Open)

BHP volunteered for all US tournaments so I put him everywhere by default. But he is willing to ler other people do it as well as there are plenty on US soil. Dont hesitate to ask for a tournament even if BHP is the host!

I am ready to host any tournament in Europe so please tell me the ones you would like to host, I will do those remaining anyway.

Priority goes to local people of course !!

So how do you want to split the summer North American hard court swing? I guess you want the Rogers Cup anyway. Done. I split the tournaments between you. OF course, tell me if you would like to change anything?

Jamie, do you want to take care of all the UK tournaments? Any other wishes?
Snolly, Tony: You should take Melbourne and the Asian swing I think!
Dragan: want to host the European winter season? Some clay court tournaments?
Edu: wanna host all South American tourneys?

That split probably won't work for me.  I'd be good for doing any or all of the spring swing, but summer time I will likely be travelling frequently.

No problem. But we're doing tennis here, nothing to do with anything else! But I understand and don't worry I will take care o those three tournaments.

What about Arvis, Mike, Snolly? any wishes? Charles and BHP have all North American tournaments but we can definitly split those as there are quite a lot, especially during the summer.

Milo is on the list by default for US tournaments but is happy zo share the duty. You can take a part of it. Newport, quito, atlanta.. a MS 1000 even if you want it. Just name it!

Alright!  If I poke around in the admin section could I break stuff?  I'm nervous.  I don't want Atlanta to roll around and THEN try and learn the system.  Is there any way for me to "practice", so to speak?
